Rethinking Information Management in AEC: An In-Depth Look at GuerrillaV by Digital Guerrilla – Part 1

In the world of Architecture, Engineering, and Construction (AEC), the importance of accurate and timely information management cannot be overstated. The success of a project often hinges on how well information is handled, from initial design through to final handover. However, traditional methods of information management—relying on tools like Excel, PowerQuery, Solibri, and manual reporting—have increasingly proven to be inadequate in meeting the demands of modern projects. These conventional processes, while effective in their time, are now seen as bottlenecks that can lead to delays, errors, and a lack of engagement from key team members.

In response to these challenges, Digital Guerrilla has developed GuerrillaV—a platform designed not just to address the inefficiencies of traditional information management but to completely revolutionize the process. GuerrillaV brings a proactive, automated, and engaging approach to information management, ensuring that AEC projects can be completed with greater accuracy, speed, and collaboration. This post delves into the existing problems in information management and how GuerrillaV offers solutions that are tailored to the needs of today’s AEC industry.

The Challenges of Traditional Information Management

Information management in AEC has historically been a complex and often cumbersome process. The reliance on traditional tools has introduced several challenges that have become increasingly difficult to ignore.

1. Reactive Processes and Delayed Feedback Loops

One of the most significant issues with traditional information management is its reactive nature. Typically, validation and quality checks occur only after models have been uploaded to a Common Data Environment (CDE). This reactive approach means that by the time errors or inconsistencies are identified, they are often already embedded deep within the project. Correcting these errors requires considerable time and effort, leading to delays, increased costs, and potential conflicts among stakeholders.

The reactive nature of these processes creates a feedback loop that is both slow and inefficient. Project teams often find themselves waiting for validation reports to identify issues, which delays decision-making and hampers progress. In a field where timelines are tight and budgets are fixed, such delays can have significant repercussions, affecting everything from project delivery to client satisfaction.

2. Disengagement from the Design Team

Another critical challenge is the disengagement of the design team from the information management process. In many cases, the design team views information validation as a separate, backend task that is handled by another department or outsourced to external consultants. This disconnect can lead to a lack of ownership and responsibility for the accuracy and quality of the information being produced.

When design teams are not actively involved in the validation process, the quality of the information can suffer. Errors may go unnoticed, or incomplete data may be passed along, leading to downstream issues that could have been avoided with more active engagement. This lack of involvement also means that opportunities for improving data quality and integrity are missed, as the people who are most familiar with the design are not directly engaged in ensuring its accuracy.

3. Manual, Time-Consuming Processes

Traditional information management processes are often manual and time-consuming. Tasks such as data entry, validation, and reporting require significant human effort, which not only slows down the process but also introduces the potential for human error. These manual processes are resource-intensive, diverting valuable time and energy away from more strategic and value-added activities.

Moreover, the reliance on manual processes often means that information management is seen as a necessary burden rather than a strategic advantage. Teams may view these tasks as routine and mundane, leading to a lack of motivation and attention to detail. The result is a cycle of inefficiency where the potential benefits of accurate and timely information management are not fully realized.

GuerrillaV: Transforming Information Management

In light of these challenges, Digital Guerrilla developed GuerrillaV with a clear objective: to transform information management from a reactive, disengaged, and manual process into a proactive, engaging, and automated experience. GuerrillaV is more than just a software tool; it’s a comprehensive platform that integrates advanced technology, user-centric design, and industry expertise to create a new paradigm in information management.

1. Proactive Management through Automation

One of the key innovations of GuerrillaV is its ability to automate the information management process, shifting it from a reactive to a proactive approach. Automation allows teams to continuously review and validate their data and deliverables in real-time, rather than waiting for a manual report or a CDE upload to identify issues. This real-time validation process ensures that errors are caught early, before they can escalate into larger problems.

For example, instead of relying on periodic validation reports, GuerrillaV enables team members to check their work against predefined criteria at any point during the project. This continuous validation not only reduces the risk of errors but also accelerates the overall project timeline, as issues can be addressed immediately rather than at the end of a design phase.

Automation also frees up valuable resources by reducing the need for manual data entry and reporting. By automating routine tasks, GuerrillaV allows teams to focus on more strategic activities, such as optimizing designs, improving data quality, and ensuring compliance with client requirements. The result is a more efficient and streamlined workflow that enhances both productivity and project outcomes.

2. Engagement through Interactivity and Gamification

GuerrillaV places a strong emphasis on engaging the design team and other stakeholders in the information management process. One of the standout features of the platform is its use of interactivity and gamification to make the process more engaging and user-friendly.

By turning information validation into an interactive experience, GuerrillaV encourages teams to take an active role in ensuring data quality and integrity. The platform’s user interface is designed to be intuitive and accessible, making it easy for team members to engage with the data and see the impact of their work in real-time. This increased engagement fosters a greater sense of ownership and responsibility, leading to higher-quality outcomes.

Gamification elements, such as progress tracking, achievement badges, and real-time feedback, further enhance user engagement. These features make the process of data validation more enjoyable and rewarding, motivating teams to stay involved and invested in the accuracy of the information. By transforming a traditionally tedious task into an engaging experience, GuerrillaV helps to elevate the overall quality of the project.

3. Tailored Features for Comprehensive Information Management

GuerrillaV is designed to be flexible and adaptable, offering a range of features that can be tailored to the specific needs of each project. This flexibility ensures that the platform can be used effectively across a wide variety of AEC projects, from small-scale developments to large, complex infrastructures. Some of the key features include:

  • Full COBie v2.4 Compliant Validation: GuerrillaV ensures compliance with client information requirements through classification-based rulesets that align with national BIM processes. This feature helps to avoid costly errors and ensures that all project information meets the highest standards of accuracy and completeness.
  • Direct Revit Data Integration: GuerrillaV integrates directly with Revit, allowing for real-time completion checks and asset identification based on actual project designs. This integration minimizes the risk of data discrepancies and ensures that all information is current and accurate.
  • Automated TIDP and MIDP Development: The platform automates the creation of Task Information Delivery Plans (TIDP) and Master Information Delivery Plans (MIDP), validating them against multiple CDEs. This automation not only saves time but also ensures consistency across all project documentation, reducing the risk of errors and omissions.
  • Project Information Requirements Mapping: GuerrillaV maps project information directly to client-specified Key Performance Indicators (KPIs), ensuring that all data is aligned with the project’s goals and client expectations. This mapping helps to ensure that the project stays on track and that all stakeholders have a clear understanding of the project’s progress.
  • Asset Register Development: GuerrillaV facilitates the development of dynamic and automated Operation & Maintenance (O&M) manuals, ensuring that the asset register is always accurate and complete. This feature is particularly valuable for large-scale projects where maintaining an up-to-date asset register is critical for long-term maintenance and management.
  • Collaborative Environments: GuerrillaV enables collaboration across the supply chain without relying on native modelling, making it easier to collate and share information among all stakeholders. This collaborative approach ensures that everyone involved in the project has access to the information they need, fostering better communication and coordination.

Beyond Tools: GuerrillaV as a Managed Platform

GuerrillaV is not just another piece of software; it’s a managed platform that brings together advanced technology, industry expertise, and user-centric design to create a new standard in information management. The platform is overseen by industry-leading information managers who ensure that it is used to its full potential and that each project benefits from the best practices in the field.

By providing a managed platform, GuerrillaV ensures that teams have access to the support and guidance they need to make the most of the platform’s features. This support includes everything from initial setup and training to ongoing assistance and optimization. The result is a seamless and integrated approach to information management that enhances project outcomes and drives continuous improvement.
